Privacy Policy
Introduction and Scope
This Privacy Policy describes how Suncoast Travel LLC, a travel agency based in Plymouth, Michigan (“we,” “us,” or “our”), handles personal information collected through suncoast-travel.com (the “Site”). We are committed to being transparent about what information we collect, why we collect it, and how we use and protect it.
This policy applies only to information collected through this Site. It does not govern information you may share with us by phone, in person, or through other channels.
Information We Collect
Information you provide
When you submit a travel consultation request through our contact form, we collect the following information:
- First name (required)
- Last name (optional)
- Email address (required)
- Phone number (optional)
- Trip type — your selection from the trip-type menu (required)
- Anticipated travel timeframe — your selection from the when-to-travel menu (optional)
- A free-form message with any additional details you wish to share (optional)
If you fill in a field labeled “website” on the form, that information is silently discarded. That field exists solely as an anti-spam measure and is never read, stored, or used for any other purpose.
Information collected automatically
When you submit the contact form, our server-side processing captures your IP address from the request headers. This is used to help detect and prevent spam and abusive submissions.
Like virtually all websites, this Site is served through Firebase Hosting (Google), which maintains standard server and CDN logs. These logs may include your IP address, browser type and version, the page or resource requested, the date and time of the request, and the referring URL. These logs are generated automatically as part of normal hosting operations and are not under our direct control.
How We Use Your Information
We use the information we collect for the following purposes:
- To respond to your travel inquiry. The primary reason we ask for your contact details is so a Suncoast Travel agent can follow up with you about your trip.
- To route your inquiry to our travel team. When you submit the form, our system sends an email notification containing your submitted information to our team inbox at info@suncoast-travel.com so an agent can pick it up promptly.
- To maintain business records. We store inquiry submissions in our database to give our agents a record of incoming leads and to support follow-up over time.
- To maintain site security and functionality. IP address information and server logs help us identify and block abusive traffic, diagnose technical problems, and keep the Site operating reliably.
We do not use your information for targeted advertising, and we do not combine it with data from other sources to build profiles about you.
Cookies and Analytics
The Site may use cookies or similar technologies for basic functionality, such as remembering form state within a session.
We may use Google Analytics 4 (GA4) to understand aggregate traffic patterns on this Site — for example, which pages attract the most visits or which devices our visitors use. If GA4 is active, it may set cookies in your browser and collect information such as pages visited, time spent on the Site, your approximate geographic location (derived from IP address, not precise location), device type, and browser version. This information is aggregated and anonymized; it is not linked to the personal information you submit through our contact form.
If you prefer not to be tracked by Google Analytics, you can install the Google Analytics Opt-out Browser Add-on, or adjust cookie preferences in your browser settings. Not all browsers provide a built-in cookie opt-out for analytics cookies; the add-on is the most reliable method.
Third-Party Service Providers
We rely on the following service providers to operate this Site. Each receives only the information necessary to perform their function on our behalf:
- Google (Firebase Hosting, Cloud Functions, Firestore) — Google provides the infrastructure that hosts the Site, executes server-side form processing, and stores contact form submissions. Google’s data practices are described in the Google Privacy Policy.
- ForwardEmail — ForwardEmail processes the outbound email notification that is generated when you submit the contact form. This means your submitted information is transmitted through ForwardEmail’s systems in order to reach our team inbox. ForwardEmail’s privacy practices are described on their website.
- Google Analytics (if and when enabled) — Google Analytics collects aggregated, anonymized usage data as described in the Cookies and Analytics section above.
These companies act as our service providers. We do not sell, rent, or trade your personal information to any third party for their own marketing or commercial purposes.
Data Retention
Contact-form submissions (“leads”) — including the information you provided and the associated IP address — are automatically purged from our systems no later than three years after submission. This automatic purge is enforced by our lead-management system and applies regardless of whether we respond to a request sooner. You may also request earlier deletion in writing at any time; see “Your Privacy Rights” below. Records related to an active or recently completed travel planning engagement may be kept for the duration of that engagement and for a reasonable period thereafter, subject to the same three-year outer limit. After the applicable period, records are deleted or de-identified.
Server and CDN logs maintained by Firebase Hosting are subject to Google’s own retention policies.

Your Privacy Rights
Depending on where you live, you may have certain rights with respect to your personal information.
This Site and our services are directed to residents of the United States. We do not knowingly target or collect information from visitors located outside the United States, and this policy is written with U.S. privacy law in mind rather than the EU General Data Protection Regulation (GDPR) or other non-U.S. frameworks.
California residents (CCPA/CPRA): If you are a California resident, you have the right to know what categories of personal information we collect about you and for what purposes, the right to request deletion of personal information we hold about you, and the right to correct inaccurate personal information. You also have the right to opt out of the “sale” or “sharing” of your personal information — we do not sell or share your personal information, so there is nothing to opt out of. All visitors: Regardless of where you live, you are welcome to contact us with any privacy question or concern, and we will do our best to help.
Children’s Privacy
This Site is intended for adults and is not directed to children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has submitted information through our contact form, please contact us at info@suncoast-travel.com and we will promptly delete it.
Security
We implement reasonable technical and organizational measures to protect the personal information transmitted through and stored by this Site. Form submissions travel over an encrypted HTTPS connection, and access to stored inquiry data is restricted to authorized personnel.
No method of data transmission over the internet or electronic storage is completely secure. While we work to protect your information, we cannot guarantee absolute security, and we encourage you to take reasonable precautions when sharing personal information online.
Links to Other Websites
This Site may contain links to travel suppliers, cruise lines, tour operators, or other external websites. These links are provided for your convenience; we do not control those sites and are not responsible for their content or privacy practices. We encourage you to review the privacy policy of any third-party site before providing them with personal information.
Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we do, we will revise the “Last updated” date at the top of this page. Changes take effect when the updated policy is posted. If we make a material change, we will endeavor to provide reasonable notice. Continued use of the Site after a change constitutes your acceptance of the revised policy.
